Start with one real workflow, the people involved and the records they use. Agree the first release, test it with operational users and document the handover before a wider rollout.
Ownership and handover
Define source-code handover, data export, hosting, documentation and support in the proposal. Hosting, label replacement and any tracking subscriptions remain separate operating considerations.
Access, data and security
Agree authentication, role and project access, location-data handling, retention and backups. Approval authority and physical equipment controls remain your operational responsibility; software does not certify equipment as safe.
Existing systems and integrations
An existing asset or maintenance system may remain the source of truth. Connections require confirmed APIs, permissions, asset-ID mapping and a visible route for failed or duplicate updates.
A few practical questions.
Does a QR code continuously track equipment?
No. A QR code identifies a record. If scoped and permitted, a scan can capture the scanning device's location at that moment. Continuous GPS tracking requires a separate tracking solution, not just a label.
What happens with damaged labels or poor connectivity?
Include a readable asset ID and a controlled label-replacement process. Offline access, queued inspections and conflicting updates need explicit design and device testing; scanning an unfamiliar label alone does not guarantee an offline record.
Can anyone with the code see our equipment data?
Scanning should identify the asset, not grant unrestricted access. Define whether a public lookup exists, what it reveals, and which users may inspect, assign repairs or change availability.
Should we buy an equipment platform instead?
Often, yes. An established product may fit check-out and maintenance well. Consider custom for important approval rules or system handoffs it cannot support. Asset cleanup, labels, offline use, integrations and hardware affect cost.
